Assistant Crew Coordinator

Acta Marine seeks an Assistant Crew Coordinator who will perform administrative tasks and provide planning support for our vessels. This function is for our location in Den Helder. You will work together as part of a team with two Crew Coordinators and a Crew Manager. In addition, the crewing department works closely with the Operations department and the crew onboard our vessel to ensure the highest operational continuity.

  • Planning and maintaining crew records using the Company Crew Management System (Adonis);
  • Liaising with relevant stakeholders e.g., Operations and Technical department regarding crew planning, new hires, projects etc.;
  • Compiling and managing of sea staff contracts and certificates;
  • Managing of travel, Visa, and relevant joining documentation;
  • Checking crew certificates and qualification validity conform our training matrix;
  • Ensuring all crew joining the vessel have completed required training;
  • Checking crew expenses and agency invoices and following up if necessary;
  • Keeping up to date with all statutory manning regulations and any relevant changes;
  • Maintaining relationships with Crewing Agencies;
  • Co-responsible for a high level of crew satisfaction;
  • Ensuring, with crew coordinator, that crew leave cycles are properly managed and that crew are relieved on time.



  • HBO degree, or equivalent working level;
  • Knowledge of the relevant Maritime legislation including STCW 2010 (Manila amendments), MLC, SOLAS and Flag State Authority regulations is a pre; 
  • Knowledge of offshore safety practices is a pre;
  • Knowledge of visa requirements globally;
  • Business level of English and Dutch both spoken and written;
  • Good to expert user of Microsoft Office products.

  • Good level of listening and communication skills;
  • Ability to get people on board and drive change as well as the ability to create structure for others and put things in writing that give others clarity and direction;
