As Crewing Coordinator, you are part of the Crewing Team and play a key role in ensuring that Acta Marine’s vessels are safely, efficiently and legally manned at all times. You coordinate daily crewing operations, including crew planning, scheduling and crew changes, while maintaining close contact with seafarers, vessel management and external stakeholders.
You monitor certifications, training requirements and compliance with maritime regulations, while supporting crew development and retention initiatives. In this dynamic offshore environment, you balance changing operational priorities, maintain accurate crew records and support budget control, working closely with the Manager Crewing and Senior Crewing Coordinator.
Key Responsibilities
- Planning and coordinating crew rotations in line with contract durations, vessel schedules, and operational requirements
- Arranging timely crew changes, including replacements, promotions, and temporary assignments in close coordination with the Senior Crewing Coordinator.
- Coordinating travel, visas, flights, and hotel arrangements for joining and signing‑off crew.
- Verifying validity of crew certificates and qualifications, ensuring compliance with training requirements.
- Maintaining accurate crew records in crewing software and HR systems including payroll related data.
- Acting as primary contact between vessels, agencies, seafarers, and Vessel Superintendents.
- Representing the company at annual maritime school open days.
- Preparing and maintaining annual training schedules for mandatory safety and compliance courses as per company’s training matrix.
Job Requirements
- Minimum MBO-4 of an advanced vocational degree with a proven track record of operating at a Bachelor’s level.
- Minimum of 3 years of experience in crewing coordination or maritime personnel management.
- Strong knowledge of maritime legislation (STCW, MLC, ISM Code, Flag State requirements).
- Familiarity with offshore (safety) practices and global visa and work permit regulations.
- Strong proficiency in Dutch and English, spoken and written.
- Proficient in Microsoft 365, SharePoint, and crewing management systems (Adonis or Radiant Fleet).
- Highly proficient in digital tools and systems, with a proven ability to learn new platforms quickly.
- Based in the Rotterdam area.
